Faculty & Staff - Work Study
The University of Toronto Work Study Program provides opportunities for eligible students to be employed part-time on campus. This program is available across all three campuses. There are 2 Work Study programs each year; the Summer Work Study Program and the Fall-Winter Work Study Program.
To be eligible to hire students through the Work Study Program, an employer must be a member of the U of T faculty and staff and they must be physically on-campus for the duration of the program. Employers may submit multiple Work Study proposals per program; each proposal can offer a maximum of 2 vacancies.

2013 Summer Work Study Program
- Students do NOT have to be OSAP eligible
- Positions are open to all undergraduates (i.e., domestic and international students, students studying on a part-time basis - at least 1.0 credits during the months of May to August) AND graduate students*
- Employers cover 20% of student wages, the remainder will be funded centrally
- PERA funds can be used to cover the employer's 20% contribution
* Students registered in Toronto School of Theology programs are NOT eligible to participate in this program.
Employer Eligibility and Responsibilities
An employer must be U of T faculty or staff and must be physically on-campus for the position's duration (i.e., Summer). Note: PhD Candidates, post-doctoral fellows and casual staff members cannot hire Work Study students. Employers may submit multiple Work Study proposals; each proposal can offer a maximum of 2 vacancies. The employer's contribution to the student's wages will be 20%. The remaining 80% will be funded centrally. Note: Faculty can use their Professional Expense Reimbursement Allowance (PERA) to fund the 20% employer contribution.
Work Study employers must:
- Provide appropriate training and supervision to hired students;
- Ensure students understand their duties, hours of work and job performance expectations;
- Introduce the payroll officer and the alternate contact to the students;
- Ensure students are paid promptly every month for hours worked through the hiring department's payroll officer; and,
- Ensure students do not exceed the maximum number of hours worked per week and throughout the length of the program (i.e., 90 hours of work for the summer program, no more than 12 hours of work per week).
Student Eligibility
To be eligible, a student must:
- Be registered in an undergraduate or graduate program (includes Ontario residents, students from other Canadian provinces/territories, international students, and students studying on a part-time basis taking at least 40% of a full course load (1.0 credit continuously from May to August)
- Be taking at least 40% of a full course load for the entire summer period of study - no course load averaging is permitted
Note: Students are only permitted to accept one Work Study position per academic year.
Submission and Approval of Work Proposals: Faculty and Staff
PROPOSALS FOR SUMMER MUST BE SUBMITTED BY MARCH 28, 2013
To submit a 2013 Summer Work Study proposal, faculty and staff must register with the Career Centre. Once registered, you'll be sent a User ID via e-mail which can be used to login to the Career Centre website.
When you log in, select 'Your Jobs' from below 'Your Account' in the left-hand menu. Select 'Add a new job' and then, from below 'FOR UNIVERSITY OF TORONTO EMPLOYERS ONLY', select the Work Study link and complete the form.
Work Study Proposals must:
- Clearly offer students more than just financial benefits by supplementing the student's current field of study with relevant experience or by providing duties (non-clerical in nature) that are useful for exploring future academic programs or career areas.
- Clearly indicate the academic/career related benefits.
- Have been created specifically for the Work Study program.
- Be flexible in terms of hours of work to accommodate students' academic schedules.
- Be entered under the account of a U of T faculty or staff member who will be responsible for the Work Study position.
- Include an alternate U of T faculty or staff member contact. Note: Students, including PhD candidates, Post-Doctoral fellows and casual staff, cannot be used as an alternate contact person and cannot supervise students hired under the program.
- Include the contact information of the department’s Business Officer.
- Include the Funding (account) information (such as: Cost Centre, Fund Centre, etc.)
- Include the contact information of the department's Payroll Officer who will be processing the student timesheets.
Work Study positions must:
- Not contravene a union agreement. Note: If you have questions, check with Labour Relations.
- Not be volunteer jobs converted to paid Work Study positions.
- Not be essential to the department to the degree that operations would be jeopardized if a student is not hired.
- Not be clerical jobs such as data entry, word processing or filing.
Once submitted, proposals will be reviewed by the Career Centre and assigned a job order number, which will be e-mailed to you. Enrolment Services then will review all proposals, determine which proposals are approved for the summer program and send an e-mail to successful employers prior to listing the Work Study positions on the Career Centre website. Enrolment Services will contact potential employers if there are questions about a proposal.
Funding is limited for this program and therefore not all Work Study proposals will be approved.
Salary and Payment Information
The rate of pay is $10.25 per hour plus 4% vacation pay. The employer will be expected to contribute 20% of salary costs. The remaining 80% will be funded centrally.

Note: if you are submitting a Summer Work Study position for the first time, you will NOT be able to copy or re-post your previous fall-winter position. You must enter your Summer Position as a NEW JOB.
